Operations Manager (Part-Time, Long-Term)
About Us
Peak Pickleball Agency is a Minnesota-based sports marketing company representing professional pickleball players, managing brand partnerships, and building a B2B e-commerce and community platform for the pickleball industry. We run on EOS (the Entrepreneurial Operating System) and work across three core teams: Brand, Facility, and Athlete.
The Role
We’re hiring a part-time Operations Manager to serve as the operational backbone of the agency. You’ll report directly to the COO and act as an agency manager across our Brand, Facility, and Athlete workstreams, keeping SOPs sharp, systems humming, and team members set up for success. This is a long-term engagement with room to grow as the business scales.
Hours & Compensation
- $35 to $40/hr depending on experience
- Approximately 10 hours/week
- Fully remote, flexible schedule (some overlap with U.S. Central Time preferred for team meetings)
- Long-term engagement. We’re looking for a stable partner, not a short project.
What You’ll Do
SOPs & Documentation (Notion)
- Build, maintain, and organize our SOP library in Notion
- Translate how we actually work into clear, repeatable processes
- Own the internal knowledge base structure
EOS Operations
- Help run EOS across the company, including L-10 meeting prep, scorecard upkeep, Rock tracking, and IDS follow-through
- Maintain our to-do and issues lists (we use the 90.io platform)
- Keep quarterly Rocks visible, tracked, and on schedule
HubSpot Administration
- Manage and customize our HubSpot CRM (Pro tier)
- Build and maintain pipelines, properties, workflows, reports, and dashboards
- Keep CRM data clean and usable across Brand, Facility, and Athlete teams
Onboarding & Offboarding
- Run onboarding for new team members and contractors, including accounts, tools, intros, and SOPs
- Run offboarding, including access removal, handoffs, and documentation cleanup
- Maintain a clear, consistent experience for everyone joining or leaving the team
Agency Management
- Act as day-to-day agency manager across Brand, Facility, and Athlete teams
- Coordinate between team leads and contractors to keep work moving
- Surface blockers, own follow-up, and escalate when needed
Tooling & Reporting (Nice-to-Have Expansions)
- Help administer Slack, Teamwork (project management), and Google Workspace
- Support lightweight weekly ops reporting to the COO
- Coordinate with our bookkeeper and contractors as an ops traffic controller
What We’re Looking For
- Proven operations experience at an agency, startup, or small business
- Hands-on familiarity with EOS (Traction). Bonus if you’ve helped run L-10s before.
- Strong HubSpot skills. You can build workflows and reports without hand-holding.
- Fluent in Notion as a documentation and SOP system
- Excellent written communication. Clear, concise, professional.
- Self-directed and highly organized. You don’t need to be micromanaged.
- Comfortable coordinating across contractors and team leads with different styles
Bonus Points
- Experience with Make.com, Airtable, or Teamwork
- Sports, marketing agency, or athlete representation background
- Interest in or knowledge of pickleball
